We take your privacy seriously. This policy explains what personal data we collect, why we collect it, and how we protect it.

1. Overview

ItemsField ("we", "us", "our") is committed to protecting the personal information of users ("you") of our classified listings platform located at itemsfield.com (the "Platform"). This Privacy Policy describes how we collect, use, store, and share your personal data, and the rights available to you under the Nigeria Data Protection Regulation (NDPR) 2019 and any successor legislation.

By creating an account or using the Platform you consent to the practices described in this policy. Please also review our Terms of Service.

2. Information We Collect

We collect information in three main ways:

Information you provide directly

  • Account data: first name, last name, email address, and password when you register.
  • Contact data: phone number, which buyers and sellers provide so they can contact each other directly to arrange and close deals off the Platform.
  • Payment data: where both parties opt to use ItemsField as a payment intermediary to build trust, we collect the payment details necessary to hold and release funds. We do not store full card numbers — only a transaction reference provided by our payment processor.
  • Profile data: profile photo, store name, store description, and location that you optionally add to your profile or store.
  • Listing data: photos, descriptions, prices, and category information you submit when posting an ad.
  • Messages: the content of communications you send through our in-platform messaging feature.
  • Support communications: emails or messages you send to our support team.

Information collected automatically

  • Log data: IP address, browser type and version, pages visited, time and date of visits, and referring URLs.
  • Device data: device type, operating system, and unique device identifiers.
  • Cookies and similar technologies: session cookies, preference cookies, and analytics cookies (see Section 5).

Information from third parties

  • Analytics providers (e.g. aggregated usage statistics).

3. How We Use Your Information

We use your personal data to:

  • Create and manage your account and authenticate your identity.
  • Display your Listings and store profile to other users of the Platform.
  • Display your phone number on your profile or listings so that interested buyers or sellers can contact you directly to arrange and close deals off the Platform.
  • Enable in-platform messaging between buyers and sellers.
  • Hold and release payments on behalf of buyers and sellers where both parties have opted to use ItemsField as a payment intermediary to close a deal.
  • Send transactional emails such as email verification, password-reset links, and payment or deal status notifications.
  • Send service announcements, security alerts, and support responses.
  • Analyse usage patterns to improve the Platform's features and performance.
  • Detect, investigate, and prevent fraudulent, abusive, or illegal activity.
  • Comply with applicable Nigerian laws and respond to valid legal requests from government authorities.

We will not use your data for purposes materially different from those listed above without first obtaining your consent.

4. How We Share Your Information

We do not sell your personal data. We may share it in the following limited circumstances:

  • Other users: your public profile information (display name, store name, listings, ratings, and phone number) is visible to other users so that buyers and sellers can contact each other directly to close deals off the Platform.
  • Service providers: trusted third-party vendors who assist us in operating the Platform (e.g. cloud hosting, email delivery, analytics, and payment processors where ItemsField acts as a payment intermediary) under strict data processing agreements.
  • Legal requirements: if required by Nigerian law, court order, or a valid request from a government authority.
  • Business transfer: in the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
  • Protection of rights: to protect the rights, property, or safety of ItemsField, our users, or the public.

5. Cookies and Tracking Technologies

We use cookies and similar technologies to operate and improve the Platform. Cookies are small text files stored on your device.

You can manage or disable non-essential cookies through your browser settings. Disabling cookies may affect the functionality of certain parts of the Platform.

6. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the Platform's services. When you delete your account:

  • Your profile, Listings, and messages are deleted within 30 days.
  • Certain data may be retained for up to 7 years where required by Nigerian financial, tax, or anti-fraud regulations.
  • Aggregated, anonymised analytics data that cannot identify you may be retained indefinitely.

7. Data Security

We implement industry-standard technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. These include:

  • HTTPS/TLS encryption for all data in transit.
  • Encrypted storage for sensitive credentials.
  • HTTP-only, secure cookies for authentication tokens to prevent client-side access.
  • Regular security reviews and access controls on internal systems.

8. Your Rights (NDPR)

Under the Nigeria Data Protection Regulation (NDPR) you have the following rights regarding your personal data:

  • Right to access: request a copy of the personal data we hold about you.
  • Right to rectification: ask us to correct inaccurate or incomplete data.
  • Right to erasure: request deletion of your personal data where we have no legitimate legal basis to retain it.
  • Right to restrict processing: ask us to limit how we use your data in certain circumstances.
  • Right to data portability: receive your data in a structured, commonly used, machine-readable format.
  • Right to object: object to processing based on our legitimate interests.
  • Right to withdraw consent: where processing is based on your consent, withdraw it at any time without affecting the lawfulness of prior processing.

9. Children's Privacy

The Platform is not directed at children under the age of 18. We do not knowingly collect personal data from anyone under 18. If you believe that a child has provided us with personal data, please contact us at [email protected] and we will take steps to delete it promptly.

10. Third-Party Links

The Platform may contain links to third-party websites or services that are not operated by us. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party site. We encourage you to review the privacy policy of every site you visit.

11. International Data Transfers

Your information is primarily processed and stored on servers located in Nigeria or within the European Economic Area (EEA). If we transfer data outside Nigeria or the EEA, we will ensure appropriate safeguards are in place in accordance with the NDPR, such as standard contractual clauses or equivalent mechanisms.

12. Changes to This Policy

We may update this Privacy Policy periodically. When we make significant changes we will notify you via email or a prominent notice on the Platform and update the "Last updated" date at the top of this page. Your continued use of the Platform after any changes constitutes acceptance of the updated policy.
